Job Description:

 Maintain up-to-date knowledge of changes in payroll and tax compliance laws (US, state, and local) 

 Keep management up to date on all tax law changes and their impact on payroll processing 

Audit employees' tax setup to ensure compliance with state tax rules and coordinate corrections with Payroll Coordinators

Register for new state and local tax IDs

Communicate directly with tax agencies as well as third party tax provider regarding tax notices Record and track tax refunds 

Review SUI tax rates for accuracy and update payroll system

Collaborate with third party tax vendor to ensure local, state and federal payroll tax returns are correct and facilitate payroll tax amendments as necessary 

Resolve issues related to tax return filings, including penalty notices and abatement requests 

Act as a liaison with Accounting team to reconcile bank account items 

Assist with year-end payroll tax activities, including preparation, and verification of W-2 data

Research information for federal and state tax audits 

Correct reconciliation errors where needed and work with third party tax provider to file amended returns as necessary 

Prepare payroll balancing reports after each pay cycle Act as the primary contact for payroll tax related correspondence and inquiries as well as escalated employee payroll tax issues

Process a weekly and biweekly payroll 

May assist with Canadian payroll 

Serve as backup to other Payroll positions 

Provides support to management as needed on additional projects 



  • Bachelor's degree in Tax, Accounting, Finance or equivalent experience 
  • Thorough understanding of current payroll tax laws and regulations, including multi-state and local experience 
  • 3-5 years experience in a large multi-state, multi-local environment OH, PA, IN and CA withholding tax experience (state and local) 
  • A process improvement mindset and demonstrated problem solving abilities 
  • Ability to prioritize workload and perform multiple tasks under accelerated deadlines Experience in researching and resolving tax notices 
  • Detail-oriented and accurate with strong analytical and organizational skills 
  • Proven ability to handle confidential information with a high regard for professionalism Ability to work under pressure and multitask within time-sensitive constraints 
  • Experience working with UltiPro by Ultimate Software preferred
