General Statement of Duties:
The Administrative Assistant provides administrative support to various levels of management as well as provides back up support for the Chief Operating Officer. Assuring a steady completion of workload in a timely manner is key to success in this position,
Duties & Responsibilities:
•Maintains files and calendars.
•Coordinates all travel arrangements both domestic and international.
•Schedules, initiates, and coordinates conference calls with various parties inside and outside of our client.
• Manages telephone and video conferences across multiple time zones.
•Receives and places telephone calls and takes messages as needed.
•Manages and coordinates meetings with outside vendors.
•Creates and edits documents, mail merges, charts, graphs, tables, etc.
•Generates memos, e-mails and reports when appropriate.
•Scans and edits documents utilizing scanner equipment and software.
-Review upcoming contract renewals and renewal payments, compare to contract in Contract Database, and obtain renewal proposal or invoice from vendor.
-Coordinate circulate of all contracts and renewals that require approvals.
-Process all recruiting event agreements. Prepare for approvals.
-Input contracts and supporting information in to Contract Database.
-When contract is approved and completed, return agreement to requester to coordinate with vendor. Update Contract Log that it’s complete.
-Key team member in Contract Database and Workflow deployment project.
Education & Experience:
•Bachelor’s Degree Required.
•Must have 7-10 years of experience working in an executive administration capacity
•Exceptional customer service skills, a winning personality and the unparalleled ability to multi-task.
•Must be extremely organized and able to work with minimal supervision.
•Advanced skills in MS Word, Excel, and PowerPoint. Knowledge of Word 2010 and MS Outlook.
•Strong communication skills needed to communicate with all levels of personnel.
•Detail oriented and comfortable working in a fast-paced office environment.
•Diplomacy and confidentiality are essential.
