Sales Coordinator - CVG

Main Purpose:

  • To ensure that the Company's agreed quality standards are maintained with regard to its products, procedures, policies, operations and customer contact

    Key Accountabilities:

  • Input daily implant data/market information into the database and maintain the database

  • Provide administrative support to CVG business leader ( expense, traveling, meeting arrangement)

  • Work closely with customer service for tracking of pending P/O and inventory replenishment record

  • Monitor shipment and back order product with SCM and inform to sales team

  • Provide rough product analysis by using database integrate with inventory report

  • Provide effective of information, collaboration and communication among the team

    (1) Regular

  • Prepare Patient ID card promptly

  • Private patients after receiving implant information and manage to deliver by hand or by mail to patient correctly

  • Pre-program devices (office stock):

  • Upon every shipment arrival at office

  • Coordinate with Supply Chain on arriving time each week

  • Manage good tracking and filing important documents of each account from sales rep such as tracking form, special quotation, etc

  • Handle customer calls and enquiries from doctors and hospitals, and pass the information to respective sales reps

  • Provide proper of information set for customer when event occurred, such as meeting , conference, itinerary detail when they travel

  • Keep track and record of programmers (create and update the programmer database)

  • Managing requests such as sponsorship application through e-cats systems, PR/PO creation via SAP etc.

  • Forecasting

  • Coordinate with distributors and the sales team to forecast expected demand

  • Compile forecast from the business units and submit to the regional planning team

  • Attend monthly forecast review with regional planning team

  • Pricing

  • Assist business managers in preparation of margin analysis

  • Assist business managers in inputting quotations into Vendavo

  • Prepare price quotations as instructed by business unit managers

  • Coordinate with the regional pricing team on exporting, application and validity of price quotations

  • Monitors changes in the price lists of distributors and update prices on an annual basis or as necessary

    (2) Upon Urgent Request

  • Coordinate between sales reps and distributors on sales issues

  • Assist sales reps on the document when they are not available

  • Manage urgent delivery to hospitals when needed

    (3) Upon Regular/Ad hoc Request

  • Handle pre-sponsorship form and donation/gift forms:

  • Sales reps send in request in details by email and pass all required documents

  • SC then prepares all documents and process the approval, payment etc

  • Organize local and overseas conference (meeting room booking, registration, travel and accommodation) and other logistics arrangements

  • For example, local product launch meetings and customer educational events, after sales rep gives the contact information, SC is responsible for making events arrangements such as meeting venue booking, marketing stuff and order meals etc

  • Prepare regular / ad hoc reports (consumption reports, audit report, monthly sales report, etc.) as requested by sales manager

  • Handle literature search and marketing material ordering process as requested by sales reps

  • Provide general administrative support and handle ad-hoc assignments as required

  • As a back-up support for other Sales Coordinators
