Job Title:  Administrative Assistant I

Job Summary

  • This role is focused on supporting the site affairs team, including handling of some administrative tasks as well as special projects.
  • Tasks include assisting with events (planning, organizing and executing), printing/hanging posters and other various communication materials as well as scheduling of site wide meetings. 

Job Responsibilities

  • Manage and coordinate special projects, as required
  • Manage site affairs calendar and inbox
  • Printing of posters/managing supplies
  • Manage office supplies for 3rd floor of KSQ3
  • Maintaining esign, video wall, bulletin boards for communication of events and messaging at the site
  • Support site wide events, including monthly site socials. Attend all events and provide onsite coordination with Conference Solutions i.e., Organize themes, communication, food, advertising, tracking attendance at events
  • Manage locker and ped assignments for Cambridge colleagues
  • Weekly site walkthrough with GO to identify and address open space clutter and submit GO service tickets 
  • Oversight for the GuestNet cards
  • Complete approved Social Responsibility funding programs.
  • Shepard completion of all necessary paperwork and contract approval through internal stakeholders.
  • Track budget for funding requests.
  • Manage distribution of the Reward & Recognition programs i.e., Museum of
  • Science tickets, sporting events
  • Taking minutes at Colleague Engagement, Operations team meetings
  • Escort external visitors (as needed)
  • Organize annual 25-year Anniversary Dinner
  • Ability to solve problems quickly and reach a solution that works for the entire team. 
  • Demonstrated ability and experience creating, composing and editing written material as needed.

Education & Qualifications

  • Bachelor's with at least 1 year experience
  • Associates with 3 years experience
  • HS Diploma with at least 4-5 years experience
  • Office management, demonstrating expert knowledge and proficiency with general administrative functions (telephone, e-mail etiquette, MS Office, Ariba, cross-site access, GDAS, Travel Connect, supply ordering).
