Job Summary

The Recruiter Coordinator is directly responsible for the day to day communications and logistical support for recruiters, hiring managers and applicants.

Job Responsibilities

  • Coordinate interview schedules and emergency schedule change request
  • Keep recruiter informed of interview schedule request status, including email confirmation of receipt of schedule request and weekly interview request updates
  • Use of multiple databases and/or tracking systems to provide information, metrics & reports (Taleo Applicant Tracking System (ATS), Travel)
  • Arrange all candidate domestic and international travel, accommodations, etc.
  • Process all expense reimbursement and invoices on a weekly basis
  • Processes special forms for approval (Relocation, Sign on Bonus, and other employment forms)
  • Update Taleo ATS with candidate status and interview data
  • Provide high touch customer service to candidates, hiring managers and administrative staff
  • Review and analyze resumes using our in-house ATS, create job descriptions, post jobs and assist in monitoring analytics
  • Search job boards for qualified active and passive candidates in addition to performing phone and in-person interviews
  • Must have a sense of urgency and have experience working in a fast-paced environment
  • Ability to work with and safeguard confidential information
  • Responsible for compliance with applicable Corporate and Divisional Policies and procedures
  • Works closely with Recruiters to accomplish staffing goals/objectives and hiring managers’ and candidates’ expectations 
  • Ensure a positive candidate/manager experience
  • Prioritizes work assignments and completes them on time
  • Maintains workflow efficiency, smooth workflow operation, and high-quality standards
  • Additional duties as assigned

Education & Qualifications ?


  • High School diploma or equivalent; Bachelor’s degree a plus
  • 2+ years administrative or customer support data entry/coordination experience OR college degree and related experience
  • Learns, fast, grasps the 'essence'; responds to changes in priorities and takes action with a sense of urgency
  • Excellent customer service skills, including: phone etiquette, attention to detail & follow-up, communications skills (verbal, written and phone)


  • Experience working with Taleo ATS or other ATS, Microsoft Outlook, Candidate travel site, Microsoft Word and Microsoft Excel
  • Two-year degree or some college credits preferred
  • Prior staffing coordination or HR experience preferred
