Job Title:  Project/Program Coordinator

Position Description

  • The Strategy & Project Management (SPM) function supports Vaccine Operations, which is responsible for Chemistry, Manufacturing, and Controls (CMC), Commercial Manufacturing, and Supply Chain for Company’s Global Vaccines Business Unit (VBU). SPM’s responsibilities include:
    • Support the VBU COO / VO Head with governance and business planning activities
    • Drive long-term strategic projects in partnership with other VO and VBU functions
    • Enhance communication and collaboration across VO
    • Provide key shared services, such as validation and project management expertise across VO
  • The Project Manager will be involved in all of the SPM responsibilities, but will primarily focus on b). This position
    • engages and leads global, multi-disciplinary teams working on projects with multiple work streams from initiation to closure to achieve the project’s objectives
    • collaborates with VO functions (Product Operations, Analytical Development, Drug Product Development, Manufacturing, Supply Chain, etc.) and with other functions within VBU (Regulatory, Clinical, Commercial, Quality, Finance, Information Technology, etc.) to create project charters and integrated project plans
    • manages risk and change, administers budget and measures performance.

Position Responsibilities

  • Project Management
    • Creates and monitors project charters, budgets, and resource plans
    • Drives the development of cross-functional project plans and ensures alignment on timeline and deliverables
    • Collects, analyzes, and integrates cross-functional deliverables to support business decisions
    • Tracks performance of team and project KPIs and/or Goals
    • Effectively engages with key stakeholders (internal and external) to ensure timely achievement of project deliverables
    • Identifies interdependencies and connections between functions and ensures visibility and alignment
    • Executes project logistics, e.g., meeting scheduling, agenda, and minutes and tracking of actions, decisions, % completion on deliverables, and variances to project plans
    • Defines and manages critical path, proactively identifies and escalates issues and solutions
    • Monitors key milestones, decision points, and critical path activities to ensure delivery of project objectives in alignment with project plan and charter
    • Helps team assess and manage risks
  • Operational Excellence
    • Demonstrates strategic thought and resource planning to support cross-functional and cross-global projects
    • Drives project management vigor through effective use of best practices
    • Ensures that tactical execution and related budget and resource plans are developed and maintained and that information is effectively utilized by the functional representatives on the project team
    • Identifies issues and obstacles that could impact the timely completion of project deliverables and resolves them with team members and/or the relevant functional management.
    • Identifies and communicates opportunities for change; plan for team to meet new challenges.

Position Requirements

  • Project Management Professional (PMP) certification with PMI desired
  • Ability to travel to various meetings or client sites, including overnight trips
  • International travel may be required
  • Travel requirements estimated around 15%
  • Required:
    • Bachelor’s degree or higher in science or business-related field
    • Minimum 5 years of project management experience within the biologics pharmaceutical industry in manufacturing, CMC, or R&D
    • Experience implementing systems and processes for support of cross-functional activities
    • Demonstrated ability to clearly and concisely communicate/present key information to senior management
    • Demonstrated ability to build consensus and drive resolution of issues while maintaining positive working relationships across functions
    • Capable of balancing and managing multiple projects, each with varying priorities, timelines, and resources
  • Preferred:
    • Demonstrated leadership skills managing matrix teams, influencing outcomes and key project decisions
    • Experience establishing and managing global teams across geographic regions
    • Project Management Professional (PMP) certification with Project Management Institute (PMI)
  • Knowledge and Skills:
    • Ability to assess business needs and apply process and systems-based solutions and take initiatives from concept to completion
    • Ability to work across geographic areas with sensitivity to cultural differences
    • Ability to establish and articulate processes which impact cross-functionally
