Job Description

Intro

Dragon Herbs is a fast growing, vertically integrated dietary supplement company with retail outlets, mail order and e-commerce divisions. Requirements

Bachelor's degree in Business Administration or Communications from a tier 1 college or university

2 years or more of project management or project coordination experience a must

Local, no more than 45 minutes of commute. No remote work. All in the office

Candidate must pass a background check and have accurate, sound references, 3 ideally.

Knowledge, Skills, Qualifications

Valid CA driver’s license with reliable transportation.

Able to sit in front of a computer for a long period of time

Loves technology, business operations, systems, innovation and efficiency

Thrives in a fast-paced, deadline-driven, work environment

Computer/Technical Skill

Excellent computer skills with advanced knowledge of the MS Office suite: MS Word, Excel, Outlook, PowerPoint.

Share Point knowledge a plus.

Microsoft Project knowledge a plus

Touch type 50 WPM

Tier 1 colleges and universities preferred

Skilled and disciplined note-taker

Administrative Duties

Liaison between the executives and staff or outside contacts

Meeting organization such as scheduling, preparing meeting agendas, producing meeting materials, writing and distributing meeting recaps

Proofreads, edits, and formats documents, spreadsheets, and forms, using strong MS Excel, Word, Power Point, Adobe Acrobat, or similar product skills, ensuring the documents’ adherence to company standards.

Research and presentation

Research, collecting and compiling information, data analysis, composing reports and creating presentations, including visuals

Project support and coordination of large or complex projects

The coordinator provides administrative and coordination support to project managers throughout all phases of the project, from inception to completion, to ensure set project goals are obtained on-time and in-budget

Planning

Participate in and assist with project planning that includes scope, objectives, budget, tasks and steps breakdown, critical path, scheduling, risk assessment, quality control, resource allocation, and procurement.

Help create project timelines with milestone dates and deliverables

Communication

Disseminates relevant project information to team members in a timely fashion, making sure that each member has the correct and complete information to carry out their respective tasks

Coordinate internally and externally on all matters related to the projects on behalf of the Project Manager

Facilitate communication among team members and with outside vendors and consultants

Keep project participants posted on the project’s current status

Monitoring

Monitor project developments

Make sure team members follow through on all tasks assigned to them per the project plans

Monitor and maintain the project schedule. Report delays and their impact on the project

Monitor the on-going costs against approved budget

Documentation

Monitor and ensure timely and accurate documentation of project progress by all delegates in a project tracking database over the entire life cycle of a project

Risk management

Alert team if a project strays out of the originally set parameters

Work with project managers to identify/mitigate project risks and participate in the creation of risk contingency plans

Corrective actions

Trouble shoot as needed

Recommend to the Project Manager feasible solutions to the encountered problems

Assist with revising the project plan as appropriate to reflect the current state of the project

Reporting

Routinely review and report progress, issues, and risks to the project manager and stakeholders

Upon completion, assist the Project Manager with writing the project execution review

Project manage simple to intermediate projects independently including managing all aspects and all developmental stages of assigned projects.

Support the continual improvements of operational processes

Weekend work and evening work will be required from time to time.
